How we collect, use and protect personal information on the Khula platform.

Khula Foundation NPC (“Khula”, “we”, “us”) operates the Khula Ekasi platform. This policy explains what personal information we collect, why, and how we protect it, in line with South Africa's Protection of Personal Information Act, 2013 (POPIA).

1. Information we collect

Depending on how you use Khula, we may collect:

  • Contact & demo requests — name, organisation, email, phone number, province and the message you send us.
  • Shop & registry data — outlet details, owner information, GPS coordinates, registry codes, equipment and compliance status.
  • Account data — role, permissions and activity for users who log in to the platform.
  • Technical data — basic device and usage information needed to keep the service secure and reliable.

2. How we use it

  • To respond to demo requests and support enquiries.
  • To register, manage and map outlets, and to track compliance and field operations.
  • To produce provincial and national reporting for oversight bodies.
  • To secure the platform and meet legal and regulatory obligations.

3. Legal basis & consent

We process personal information where you have consented, where it is necessary to provide the platform, or where we have a legitimate operational or legal interest. You may withdraw consent for demo/marketing contact at any time.

4. Sharing

We do not sell personal information. We may share data with the Khula Foundation's authorised coordinators, and with government or oversight bodies where required for the national spaza registration and licensing programme, or where the law requires it.

5. Security & retention

Access is role-based and limited to what each user needs. We keep personal information only as long as necessary for the purposes above or as required by law.

6. Your rights

Under POPIA you may request access to, correction of, or deletion of your personal information, and you may object to certain processing. To exercise these rights, contact us at admin@khulaekasi.co.za.

7. Changes

We may update this policy from time to time. Material changes will be reflected by the “last updated” date above.
